Open the File

  • Verify required Contract documents are complete and ready before sending them out.

  • Send opening package to Escrow, Lending, Title, and Agents informing everyone of important dates and information as well as Contact information.

  • Sending an introduction message to the client letting them know the status of their transaction and what to expect next as well as contact information that they will need.

Opening and Maintaining Broker File

  • Different brokers have different requirements and this can be time consuming for agents. I’ll ensure that all documents are uploaded and compliant to your broker’s system.

Required Documents

  • Many Documents are required throughout the transaction. I will coordinate with the other agent and ensure we receive/send them in a timely manner. As well as ensure they are fully executed.

Point of Contact

  • Escrow, Lending, and the other Agent will likely have questions at some point along the way. I will now be a POC so that you don’t have to deal with every request coming through. Some items will still require your attention but now many of them I can complete.

Timeframes

  • I will track all deadlines to ensure they are met. Any Contingencies from our side will be sent as soon as the requirements are met. I’ll Update everyone of these dates when opening the file, when they are near due, and if they become past due.

Completed File

  • I will send a completed file to you and the client upon closing. I also store these for 5 years in case you or the client ever needs anything. (i.e. tax rebates for the client after buying their home)

Summary Reports

  • I send out a Summary Report at the end of each week. A fully detailed one for you and a basic task report for the client. This lets you and them know exactly where the transaction is and what we have completed and what items are still in process.
